Change Requests
change requests are used to track change within a standard or study through a predefined workflow you can define as many change request templates as you want, each with their own properties and lifecycle states for example, change requests can be used to request that a standard or study is created, updated or approved by another ryze user your workflow can be as simple or as complex as required all users can be given change request user permissions however, a user with a "reader" subscription will not have access to the change management process creating a change request to create a change request do one of the following select repository and select change requests select repository and open the standard or study that should contain the change request select repository and open the standard or study that should contain the change request then select an asset to create the change request against and select the change requests tab select create change request select the change request template from the drop down list then select next (optional) you can enter a title , description and due date if the title is left empty, a unique title is automatically assigned (optional) you can select one or more of studies/standards/assets (optional for asset change requests) you can enter an asset name or select unknown asset if you do not know its name enter any mandatory fields that are set in the change request template select create once the change request is created, you can add an assignee, edit properties, attach files, transition workflow states, and add comments assignees receive an email informing them of the request for change requests with a due date, assignees receive another reminder email on the due date active change requests change requests that apply to a standard or study are displayed on the standard/study details page under change requests filtering change requests you can select search criteria that narrows search results by adding filters for example, that you could carry out a search for particular change request states that have been assigned to a particular user available filters id enter the change request id description enter the description due date select the due date range, to and from custom property name enter the custom property name custom property value enter the custom property value created select the created date range, to and from owner enter owner name assignee enter assignee name state enter the workflow state for example "accepted" or "rejected" standard / study enter the standard / study name standard / study asset enter the standard / study asset name asset enter asset name template context enter template context template enter name of change request template comment enter comment or question files enter file name watchers enter watcher's name you can enter more than one completed versions enter the name of the standard or study, the asset name and the version number of the standard or study downloading summary you can download a change requests summary in csv format select columns to include and deselect columns to exclude select a sort by option from the dropdown list to choose how you want results displayed on the summary csv file select download changing request owner any user with access to change requests can change the owner of a change request to update the owner select repository from the navigation bar and select change requests select the id of the change request you want to edit select next to owner and select a new owner for the change request select assign you will receive an notification email if you become the owner of a change request viewing and editing properties you can view the history of change request and edit the properties to view the change request log select repository from the navigation bar and select change requests select the id of the change request you want to view the history of properties for select the plus icon next to properties select the history icon to view the history you can filter results, download a csv report and change the table headings to edit properties select repository from the navigation bar and select change requests select the id of the change request you want to view the history of properties for select the plus icon next to properties to expand the property area if needed select the properties icon to edit properties (optional) you can add or edit the title , description , due date and standard and/or study you can enter more than one container (standard / study) here (optional) you can specify a version label for the container within the change request click save if you set version labels for assets within change requests, you can search change requests under complete versions by standard / study , asset and / or version and select apply transitioning the workflow you can transition the state of a change request to another state optionally, you can set approvers to approve transitions between states examples of states are draft, in progress, accepted and rejected states and approvers are set during creation of a change request template, see change requests for more information to transition a workflow select repository from the navigation bar and select change requests select the id of the change request you want to transition select the plus icon next to workflow select the state to transition to from the drop down list select transition if there are approvers see to set an approver for a transition to set an approver for a transition select repository from the navigation bar and select change requests select the id of the change request you want to transition select the plus icon next to workflow select the down arrow to select an approvers name from the drop down list select assign to approve a change request for transition select the plus icon to approve the change request you can only approve change request transitions that you are set as an approver for to remove a user as an approver from the workflow select the cross icon to remove a user as an approver deleting change requests to delete change requests select repository from the navigation bar and select change requests select the id of the change request you want to edit select the trash icon to delete the change request you can see the delete icon at the top left hand side of the change request window select ok
